Space is a critical resource for all of our academic programs, academic support units and administrative operations. Space in central campus buildings is allocated by the Provost, who seeks the advice of the Space Planning Advisory Committee (SPACe). The following procedures contain more information on central campus space requests and programmatic renovation requests.
I. Central Campus Space Requests
If your school or department would like to request additional central campus space, please complete the Yale Central Space Request Questionnaire and submit it to Meg Kirkpatrick, Associate Provost for Research. The questionnaire requires a signature of the Dean or Vice President, who will be asked to present the request to SPACe.

II. Programmatic Renovation Requests
The Office of the Provost and the Office of Facilities & Campus Development have established a new annual intake and approval process, as outlined below, for requesting funding and/or Facilities project planning, design, and construction staff support for programmatic renovation capital projects. This process will apply to all projects that will be undertaken in calendar year 2026 or later; are on Central Campus, Science Hill, and in Athletics facilities; and have an estimated cost of up to $4 million.
Units should submit all requests for non-laboratory and laboratory capital projects by January 5, 2026, using the following procedures, to be considered for initiation within the current or next fiscal year.

For urgent, unanticipated project needs that have not been approved as part of the annual approval cycle, units are asked to submit these requests as soon as possible for consideration in the monthly review process outlined below.
All requests must be reviewed, prioritized, and approved by the relevant Dean, Director, Vice President, or University Officer and should be consistent with the unit’s strategic, programmatic, and financial planning before submission.
Procedures for Capital Project Requests and Approvals
The following procedures should be used to request funding and/or Facilities project planning staff support for programmatic renovation capital projects. They apply to all projects that: will be undertaken in calendar year 2026 or later, are on Central Campus, Science Hill, and in Athletics facilities, and have an estimated cost of up to $4 million.
Annual intake process for non-lab renovation projects
- Request. By January 5, 2026, unit leadership should request capital project support for all anticipated non-lab projects for the current or next fiscal year using the Programmatic Renovation request form on the Provost’s Office website. Unit leadership may discuss the project with the Provost’s Office and Facilities team in advance of submission. All requests must be submitted by the unit leader (i.e., dean, vice president, etc.).
- Triage. The Provost’s Office and the Facilities team will complete a preliminary review and prioritize all proposals based on funding, staffing, and other criteria by February 1.
- Approval. The Governance Group (composed of the Provost; the Vice President for Facilities, Campus Development, and Sustainability; the Senior Vice President for Operations; and the Associate Provost for Research) will review, prioritize, and approve projects to be executed in the following fiscal year.
- Notification. By March 1, the Provost’s Office and the Facilities team will notify units of project status and estimated project timeline.
Annual intake process for lab renovation projects
- Space assessment. By January 5, 2026, FAS, SEAS, Environmental Health and Safety (EHS), the Vice Provost for Research team, and Facilities will conduct space assessments to identify potential space to host new faculty or other laboratory-based programming.
- Request. By January 5, unit leadership should request capital project support for all anticipated lab projects planned for the current or next fiscal year using the Programmatic Renovation request form. Include any special considerations for additional space requests and/or anticipated needs related to special utilities, biosafety considerations, special equipment, etc.
- Triage. By February 1, the Vice Provost for Research team and the Associate Vice President for Capital Program Development and Delivery will develop a preliminary scope and budget for lab renovation requests.
- Approval. The Governance Group will approve a preliminary list of lab renovation projects.
- Notification. By March 1, the Provost’s Office and the Facilities team will notify units of project approval status.
- Request. By the end of each month (starting March 2026), unit leadership may submit unanticipated project requests using the Programmatic Renovation Request form.
- Triage. The Provost’s Office and the Facilities team will review and prioritize requests and consult with the Governance Group as necessary.
- Notification. Unit leadership will hear from the Provost’s Office and Facilities on project approval status and estimated timeline within four to six weeks of request submission.
